POSITION:

Cashco has one opening for an Export Coordinator.

Summary :

The Export Coordinator will be responsible for managing and overseeing the export of valve products from the manufacturing facility to international markets. This role involves coordinating shipping, handling export documentation, ensuring compliance with regulations, and working closely with logistics, customers, and internal teams to ensure timely and efficient delivery of products to overseas clients.

Responsibilities :

Export Documentation & Compliance:

  • Prepare and manage all necessary export documentation, including commercial invoices, packing lists, certificates of origin, and bills of lading.
  • Ensure compliance with international trade regulations, export control laws, customs requirements, and industry standards.
  • Collaborate with customs brokers to facilitate smooth customs clearance and ensure adherence to import/export laws.

Shipping & Logistics Coordination:

  • Coordinate the shipping of products to international customers, working with freight forwarders, carriers, and other logistics service providers.
  • Maintain an up-to-date shipping schedule, ensuring all orders are shipped on time and in compliance with customer specifications.
  • Track and monitor shipments to ensure they arrive at their destination on schedule, handling any delays or issues that arise.

Customer Communication:

  • Act as the primary point of contact for international customers regarding their orders and shipments.
  • Provide customers with shipping updates, estimated delivery times, and handle any inquiries related to export orders.
  • Address customer concerns promptly and professionally, resolving issues related to shipping, delivery, or documentation.

Inventory & Order Management:

  • Work closely with the production and warehousing teams to ensure that products are available and ready for export according to customer orders.
  • Ensure the accurate entry of export orders into the system, tracking inventory and coordinating the timely movement of goods.

Freight & Cost Management:

  • Obtain shipping quotes from freight forwarders and other logistics providers to ensure cost-effective transportation solutions.
  • Monitor and track freight costs, ensuring that shipments stay within budget and identifying opportunities for cost reduction.

Problem Resolution:

  • Proactively identify and address potential issues related to shipping delays, customs clearance, or damaged goods.
  • Work with internal teams and external partners to resolve any issues in a timely manner and ensure customer satisfaction.
  • Record Keeping & Reporting:
  • Maintain detailed records of all export shipments, including tracking information, invoices, and related documentation.
  • Generate reports on export activities, providing insights into shipping performance, costs, and customer satisfaction to management.
  • Ensure that all records are accurate and compliant with company policies and international regulations.

Collaboration with Internal Teams:

  • Coordinate with production, sales, and warehouse teams to ensure that export orders are processed efficiently and meet customer requirements.
  • Work closely with the sales department to provide status updates on export orders and shipments.
  • Collaborate with quality control teams to ensure that products meet the necessary standards for international shipments.

Qualifications :

  • High school diploma required.
  • Familiarity with international trade regulations, customs processes, and export documentation.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Excellent communication and interpersonal skills, able to liaise with internal teams and external customers.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and experience with ERP or shipping software.
  • Problem-solving mindset with the ability to troubleshoot issues quickly.
  • Ability to handle high-pressure situations and meet deadlines.
  • Ability to adapt to changing schedules and customer demands.
  • Continuous movement of parts weighing up to 50lbs with or without accommodations are required in all positions.
